Mail Shot, Bulk Change Mailshot Data

There are twelve user-definable fields (i.e. ones where you can set-up the wording for the prompt (e.g. “Mortgage”) and also the acceptable answers (e.g. “Endowment”, “Repayment”, etc). These appear at the bottom of your client screen (i.e. those from “Mortgage” to “Next contact” shown below) and there are a further forty-two user-definable fields on the following screen (see Set-up, Field Names), typically accessed via the black curve-right arrow button. You may wish to change either…

WARNING! Before proceeding with any bulk changes to your data you should always take a backup, especially if you’ve never done this process before.

To bulk change a wrong answer (e.g. set all instances of the answer “Golf club” either to blank, or to some other value, such as “Married”) starting from Durell’s Main Menu do the following…

If your unwanted answer is NOT already in the list then you must first create it, as follows… 

Now that the unwanted value is in the field’s options list of possible answers, you have two choices….

1. To make all instances of it in your client file blank (i.e. all instances of “Golf club” reset to blank) do as follows…

2. To change all instances of it in your client file (e.g. from “Golf club” to “Married”) do as follows… 

If you are then left with two instances of the same value in your options list (e.g. two instances of the word “Married”) then you should highlight either one and click the “Delete” button to get rid of it. In this case make sure that you DO NOT ACCEPT THE PROMPT to blank out all matching client data, or you’ll be very unhappy!
